Terms and Conditions
1. Scope
These Terms and Conditions apply to all sales, deliveries and services provided by Polaris Sauna. By placing an order, the Customer accepts these Terms and Conditions as binding. Deviating terms of the Customer shall not apply unless expressly confirmed in writing by Polaris Sauna.
2. Product Characteristics
Saunas and sauna accessories are made of natural materials. Wood may show variations in colour, grain, knots, cracks or warping due to natural processes. These variations do not constitute defects and shall not give rise to warranty claims.
The typical operating temperature range for sauna use is generally between 80°C and 90°C at bench level. Actual temperatures may vary depending on the specific installation and operating conditions. Polaris Sauna Ltd. does not guarantee the achievement of any particular temperature.
3. Contract Conclusion
A purchase agreement is concluded once Polaris Sauna confirms the Customer’s order by e-mail. Polaris Sauna reserves the right to refuse orders at its sole discretion.
4. Prices and Payment
All prices are stated in Euro and include VAT unless otherwise specified. Payment is due immediately upon conclusion of the contract. Accepted payment methods are bank transfer, credit card, and PayPal.
4.1 Deposit Payment Option
For selected products, Polaris Sauna offers a split payment option consisting of a 40% deposit upon order confirmation and the remaining 60% payable prior to delivery.
Receipt of the deposit constitutes the Customer’s binding confirmation of the order and authorisation for Polaris Sauna Ltd. to commence production. Upon receipt of the deposit, materials are allocated, production capacity is reserved and customer-specific manufacturing begins.
As Polaris Sauna products are individually manufactured to the Customer’s specification, the order can generally no longer be cancelled after the deposit has been received. Any right of withdrawal or cancellation shall be governed exclusively by the applicable statutory provisions and the Returns & Refunds Policy.

5. Retention of Title
Ownership of the goods remains with Polaris Sauna until full payment has been received.
6. Delivery and Shipping
The terms of delivery and shipping are regulated separately in our Shipping Policy. These form an integral part of this contract.
7. Returns and Refunds
The terms for returns, refunds and the right of withdrawal are regulated separately in our Returns & Refunds Policy. These form an integral part of this contract.
8. Installation and Accessibility
Installation services are provided under the condition that the installation site is freely accessible and can be reached without the use of extraordinary equipment unless otherwise agreed.
Where delivery and installation require lifting the sauna into the garden with a crane, Polaris Sauna offers a crane service subject to additional costs. The Customer shall ensure that there is sufficient space for the crane to be positioned and that it is technically feasible to lift the sauna over the house or other obstacles. The costs for the crane service will be communicated in advance and invoiced separately. If crane delivery is required but cannot be carried out due to site conditions, Polaris Sauna reserves the right to refuse installation and to charge the Customer for any costs incurred.
The Customer is responsible for ensuring unobstructed access and sufficient space for delivery and assembly. The Customer must also ensure that the foundation or surface is level, stable and suitable for the installation.
8.1 Ground Conditions and Screw Pile Foundations
Where Polaris Sauna Ltd. supplies, arranges or recommends screw pile foundations, foundation preparation or other ground works, all such works are subject to suitable ground conditions.
The Customer acknowledges that underground conditions cannot be fully assessed prior to installation. Hidden obstacles, including but not limited to rock, boulders, buried concrete, foundations, tree roots, utilities, drainage systems or other underground obstructions may prevent or significantly affect the installation.
Polaris Sauna Ltd. will use reasonable skill and care to complete the installation. However, Polaris Sauna Ltd. does not guarantee that screw piles or other proposed foundation systems can be installed successfully.
If the planned foundation solution cannot be completed due to unforeseen ground conditions, Polaris Sauna Ltd. may recommend an alternative solution. Any additional labour, specialist equipment, materials or subcontractor costs required to complete the installation shall be quoted separately and must be approved by the Customer before such work is carried out.
Where work has commenced but cannot be completed because of unsuitable ground conditions, Polaris Sauna Ltd. reserves the right to charge for work already performed, including but not limited to site attendance, transport, labour, equipment hire, specialist contractor charges and any materials used.
Unless expressly agreed otherwise in writing, Polaris Sauna Ltd. does not warrant the suitability of the Customer’s ground or subsoil for any particular foundation system.
9. Permissions, Site Suitability and Electrical Works
9.1 Intended Use and Regulatory Requirements
Before placing an order, the Customer must inform Polaris Sauna Ltd whether the product is intended for private, commercial, rental, hospitality, workplace, public or shared use.
The Customer is responsible for obtaining all permissions, approvals, certificates and professional assessments required for the intended use and installation location. These may include requirements under planning, building, fire-safety and environmental legislation, as well as requirements imposed by local authorities or the Customer’s insurer.
Polaris Sauna Ltd does not provide legal, planning, building-control or fire-safety advice and cannot determine or confirm which requirements apply in an individual case. Where necessary, the Customer must consult the relevant authorities or appropriately qualified professionals.
9.2 Site Suitability and Safety Clearances
The Customer is responsible for providing a suitable and properly prepared installation location. The site must provide adequate and continuing clearance from buildings, boundaries, trees, overhanging branches, vegetation and all other combustible materials.
Trees, branches and other vegetation must be cut back before installation where necessary and maintained at a safe distance thereafter.
All safety clearances, ventilation requirements, floor-protection requirements and other installation specifications issued by the relevant heater and chimney manufacturers must be followed. The Customer must disclose all known site conditions and intended uses that may affect the safety or regulatory compliance of the installation.
Polaris Sauna Ltd may refuse or postpone delivery, assembly or commissioning where the site appears unsafe, unsuitable or inadequately prepared. Any resulting additional costs may be charged separately.
9.3 Scope of Installation Services
Where included in the quotation, Polaris Sauna Ltd will carry out the agreed installation work with reasonable skill and care and in accordance with the relevant manufacturer’s instructions. This may include the mechanical installation of a sauna stove, chimney system, electric heater, control unit and sensors.
Installation or commissioning by Polaris Sauna Ltd does not constitute confirmation or certification that the property or complete installation complies with all site-specific planning, building, fire-safety, insurance or intended-use requirements.
For commercial, rental, hospitality, workplace, public or shared use, the Customer must arrange all additional assessments, risk assessments, certifications and approvals required for that use. The sauna must not be made available to third parties until all required inspections and approvals have been completed.
Polaris Sauna Ltd is not responsible for hidden, inaccurately described or undisclosed site conditions or intended uses.
9.4 Electrical Installation
All mains electrical work must be completed by a qualified electrician appointed by the Customer. Where legally required in the Republic of Ireland, Restricted Electrical Works must be carried out by a Registered Electrical Contractor (REC).
As part of the agreed assembly service, Polaris Sauna Ltd may mechanically install electrical equipment, route manufacturer-supplied sensor and data cables and, where included, install the manufacturer-supplied 12 V or 24 V under-bench LED system on the extra-low-voltage output side of the transformer or LED driver.
Polaris Sauna Ltd does not carry out any 230 V or 400 V wiring or connections and does not connect equipment to the property’s electrical system.
The Customer’s electrician is responsible for assessing and providing the required electrical supply, completing all mains connections, connecting the sensor and data cables, and testing, certifying and commissioning the complete electrical installation. The electrical equipment must not be used before this work has been completed.
9.5 Liability for Customer Non-Compliance
To the extent permitted by law, Polaris Sauna Ltd shall not be liable for delays, additional costs, regulatory non-compliance, operational problems, damage, loss or injury to the extent that they result from:
- undisclosed intended uses or site conditions;
- missing permissions, certificates or professional assessments;
- an unsuitable or inadequately prepared installation location;
- failure to maintain required safety clearances or control vegetation;
- electrical work outside the agreed scope of Polaris Sauna Ltd; or
- failure to follow operating, safety or maintenance instructions.
Nothing in this section excludes or limits the Customer’s statutory rights or Polaris Sauna Ltd’s responsibility to carry out its expressly agreed work with reasonable skill and care.
10. Warranty, Statutory Rights and After-Sales Service
10.1 Statutory Rights of Consumers
Nothing in these Terms and Conditions excludes, restricts or replaces any statutory rights or remedies available to a consumer under applicable Irish consumer law.
Polaris Sauna Ltd. remains responsible to consumers for providing the remedies required by law where goods do not conform to the sales contract. Any manufacturer warranty or voluntary service offered under this section is additional to, and does not affect, those statutory rights.
10.2 Manufacturer Warranty
Products and individual components may be covered by a manufacturer warranty in addition to the customer’s statutory rights.
The scope, duration and conditions of manufacturer warranty coverage depend on the individual product, component, manufacturer, intended use and applicable manufacturer terms. For products purchased for private residential use, manufacturer warranty coverage may extend for up to two years, or longer for certain components where expressly stated.
Manufacturer warranty coverage normally applies only to defects in materials or workmanship occurring under proper installation, operation and maintenance.
Polaris Sauna Ltd. remains the customer’s direct point of contact and will assist with the assessment, administration and communication of manufacturer warranty claims. Where appropriate, Polaris Sauna Ltd. will coordinate the supply of approved replacement parts or other remedies provided under the applicable manufacturer warranty.
No statement in these Terms and Conditions extends a manufacturer warranty beyond the scope or duration provided by the applicable manufacturer unless Polaris Sauna Ltd. has expressly agreed otherwise in writing.
10.3 Complimentary Polaris On-Site Repair Service
For products purchased directly from Polaris Sauna Ltd. for private residential use, Polaris Sauna Ltd. provides a complimentary one-year On-Site Repair Service within the mainland Republic of Ireland.
The service applies for twelve months from the date of delivery and is available where:
- the claim relates to a possible defect in materials or workmanship;
- the issue is reported within the applicable service period;
- following reasonable assessment, Polaris Sauna Ltd. accepts the issue as a covered claim; and
- Polaris Sauna Ltd. determines that attendance at the installation location is reasonably necessary to inspect or repair the defect.
Polaris Sauna Ltd. may first assess the issue by telephone, email, photographs, video, diagnostic information or other reasonable remote means before arranging an on-site visit.
For an accepted claim, the service includes reasonable travel and labour required to inspect and repair the covered defect. Replacement parts will be provided where covered by the applicable manufacturer warranty, statutory consumer rights or another express written commitment from Polaris Sauna Ltd.
Polaris Sauna Ltd. may repair the affected component, arrange an appropriate replacement part or provide another suitable remedy, subject always to the customer’s statutory rights.
The complimentary On-Site Repair Service does not constitute a general maintenance, servicing, cleaning, adjustment or call-out service.
Restricted Electrical Works and other mains electrical work must be carried out by an appropriately qualified Registered Electrical Contractor. Polaris Sauna Ltd. does not perform 230 V or 400 V electrical connections, disconnections, testing or certification. Responsibility for associated third-party costs will depend on the applicable statutory rights, warranty coverage and agreed scope of supply.
On-site attendance outside the mainland Republic of Ireland, including islands and Northern Ireland, will be assessed individually. Additional travel costs may apply and will be agreed with the customer in advance.
10.4 Natural Timber Characteristics
Timber is a natural material that responds to temperature, humidity, use and outdoor exposure. The following are not normally considered defects:
- natural variations in colour, grain, texture and density;
- knots, resin pockets and other natural timber features;
- normal greying, fading, weathering or colour change;
- minor surface cracks or checking;
- normal expansion, shrinkage or seasonal movement;
- small gaps or minor changes in alignment caused by normal timber movement; and
- minor cosmetic imperfections that do not affect safety, structural integrity, watertightness or intended use.
This exclusion does not apply where abnormal movement, deformation, deterioration or failure results from defective materials or workmanship and materially affects the safety, structural integrity, watertightness or intended function of the product.
10.5 Exclusions
Manufacturer warranty coverage and the complimentary Polaris On-Site Repair Service do not apply to the extent that the reported issue was caused or materially contributed to by:
- normal wear and tear;
- natural timber ageing or movement as described in section 10.4;
- consumable or routine maintenance items, including filters, sauna stones, light bulbs and similar items;
- improper, negligent, excessive or unintended use;
- use outside the declared private residential purpose;
- accidental or deliberate damage;
- continued use after a defect or safety issue became apparent;
- an unsuitable, unstable, inadequately prepared or unlevel foundation;
- incorrect assembly or installation by the customer or a third party;
- electrical installation not completed, tested or commissioned by an appropriately qualified electrician;
- unauthorised alteration, modification or repair;
- failure to follow supplied operating, safety, care or maintenance instructions;
- inadequate ventilation, drainage or protection from standing water;
- failure to clean, dry, ventilate or protect the product as instructed;
- failure to maintain or treat exterior timber as instructed;
- unsuitable water chemistry, scale, contamination, corrosion or chemical damage;
- failure to clean or replace filters at the required intervals;
- freezing or frost damage where the required winterisation or frost-protection procedure was not followed;
- storm, flooding, fire, impact, pests or other external events outside the reasonable control of Polaris Sauna Ltd.; or
- transport, storage, lifting or relocation arranged by the customer or by a third party not engaged by Polaris Sauna Ltd. after delivery.
An exclusion applies only to the extent that the excluded circumstance caused or contributed to the reported issue. For example, failure to maintain exterior timber will not exclude coverage for an unrelated defect in a heater or control component.
10.6 Customer Responsibilities and Claims Procedure
The customer must notify Polaris Sauna Ltd. promptly after discovering a possible defect.
The customer may be required to provide:
- proof of purchase;
- the order or invoice number;
- the product or component serial number, where applicable;
- a clear written description of the issue;
- photographs or video showing the issue;
- details of installation, maintenance and operating conditions; and
- reasonable access to the product for inspection or repair.
Where continued use could cause additional damage or create a safety risk, the customer must stop using the affected product until further instructions are provided.
The customer must not arrange repairs, replacement parts or third-party work for which reimbursement is sought without first giving Polaris Sauna Ltd. a reasonable opportunity to assess and remedy the issue, except where immediate action is reasonably necessary to prevent injury or serious property damage.
Polaris Sauna Ltd. will assess claims within a reasonable period and may request additional information where necessary.
10.7 Non-Covered Visits and Call-Out Charges
If an on-site visit is requested and no covered defect is identified, or the issue is found to have been caused by an excluded circumstance, routine maintenance requirement or customer-installed component, a reasonable inspection, travel or call-out fee may apply.
Any potential charge and its basis will be communicated to the customer before the visit is arranged. No call-out charge will apply to an accepted claim covered by the complimentary Polaris On-Site Repair Service.
Nothing in this section permits Polaris Sauna Ltd. to charge a consumer for a remedy that must be provided free of charge under applicable consumer law.
10.8 Support After the First Twelve Months
After the complimentary On-Site Repair Service has expired, Polaris Sauna Ltd. will continue to assist customers with technical guidance, spare parts and eligible manufacturer warranty claims.
On-site attendance, travel and labour after the first twelve months may be chargeable unless:
- the work is covered by a separate written service agreement;
- Polaris Sauna Ltd. has expressly agreed otherwise; or
- the customer is entitled to a free remedy under applicable consumer law.
Any proposed charge will be communicated before chargeable work is arranged.
10.9 Commercial, Rental and Shared Use
The private residential manufacturer warranty information and complimentary Polaris On-Site Repair Service described above do not apply to products used for commercial, professional, rental, hospitality, workplace, public or shared purposes.
This includes use by hotels, guesthouses, B&Bs, holiday accommodation, glamping sites, spas, gyms, wellness centres, clubs, rental operators and similar organisations.
Commercial warranty and service coverage, including its duration, scope, exclusions and any entitlement to on-site attendance, will be stated separately in the applicable quotation and order confirmation. The customer must disclose the intended commercial use and expected intensity of operation before ordering.
Where no complimentary commercial on-site service is expressly included in the quotation or order confirmation, no such service is included.
Any applicable manufacturer warranty for commercial use remains subject to the terms of the individual manufacturer and component.
Nothing in this section excludes any contractual or other legal rights that cannot lawfully be excluded.
11. Liability
To the extent permitted by law, Polaris Sauna Ltd. will not be liable for loss or damage to the extent that it was caused or materially contributed to by improper use, negligent operation, incorrect installation by the customer or a third party, an unsuitable installation location, failure to follow operating or maintenance instructions, or an unauthorised modification or repair.
Self-installation or third-party installation does not automatically exclude liability for an unrelated defect in materials or workmanship.
Nothing in these Terms and Conditions excludes or limits:
- a consumer’s statutory rights;
- liability for death or personal injury caused by negligence;
- liability for fraud or fraudulent misrepresentation;
- liability arising from wilful misconduct or gross negligence; or
- any other liability that cannot lawfully be excluded or limited.
For business customers only, and to the extent permitted by law, Polaris Sauna Ltd. will not be liable for indirect or consequential loss, loss of profit, loss of revenue, loss of business, loss of use, loss of opportunity or business interruption.
Any limitation of liability applicable to a business customer is subject to the individual contract, quotation and order confirmation.
12. Force Majeure
Polaris Sauna shall not be liable for delays or failures in performance caused by events beyond its reasonable control, including but not limited to natural disasters, strikes, shortages of raw materials, transport disruptions, or government actions.
13. Communication
Notices and declarations shall be valid if made in writing or by e-mail to the addresses provided by the Customer during the order process.
14. Governing Law and Jurisdiction
These Terms and Conditions are governed by the laws of Ireland. The courts of Ireland shall have exclusive jurisdiction over any disputes arising from or in connection with these Terms and Conditions.
15. Severability
If any provision of these Terms and Conditions is or becomes invalid, the remaining provisions shall remain unaffected.
16. Amendments
Polaris Sauna reserves the right to amend these Terms and Conditions. Customers will be informed of changes in due time.
Final Provisions
These Terms and Conditions apply in the version valid at the time the order is placed. Any subsequent amendments shall apply only to future contracts unless otherwise required by law.
